PURPOSE The Accounting Coordinator I provides professional accounting and related financial management support for the Milwaukee Police Department (MPD), including grant accounting, accounts payable, cash receipts, and grant inventory.
ESSENTIAL FUNCTIONS Accounting and Reporting Perform account reconciliation and analysis.
Prepare and enter adjustments for all funds using PeopleSoft Financial Management Information Systems (FMIS).
Prepare accounts receivable invoices and apply payment when received.
Process non-sufficient funds (NSF) checks.
Resolve discrepancies or errors in cash receipts, invoice payments or budget checks.
Categorize and prepare deposits of miscellaneous revenue.
Disburse, receive, and balance cash for three separate funds.
Grant Monitoring Assist with grant analysis, billing, and reports.
Maintain grant inventory database.
Assist with accounting functions for contracts and grants.
Financial Statements and Account Tracking Create control groups, vouchers, purchase orders, and new vendors in the City’s FMIS system.
Ensure that invoices are paid accurately, timely, and in compliance with City purchasing regulations.
Prepare and follow-up on cash receipts related to grants, asset forfeiture, Police Regional Training Center (RTC), and other deposits.
Prepare and submit Common Council resolutions and related documentation.
Check status of vendor contracts.
Assist with bi-weekly procurement card (ProCard) processing and payroll approval.
Maintain boat patrol daily log sheets, prepare monthly and quarterly reports for the Department of Natural Resources (DNR) and participate in annual audit.
Provide documentation for the City Comptroller and for the annual budget.
Process and maintain daily transactions and correspondence regarding cash handling systems, collected bail, and cash received by the department.
Audit, prepare, and process training and travel advances and reimbursement requests; obtain state reimbursement for the training.
Create and maintain requisitions for files of outstanding purchase requisitions, purchase orders, contracts, bid documentation and paid bills.
Handle all correspondence, payment requests, and records for department members who are notary publics.
Answer telephone and billing inquiries from vendors, staff, and other City Departments.
Input appropriate accounting codes and maintain files for Interdepartmental Requisitions (IRIs) after they have received proper approval and forwards to the Comptroller’s office.

MINIMUM REQUIREMENTS Bachelor's degree in accounting, business administration or a closely related field from an accredited college or university.

CURRENT SALARY The current salary range (Pay Range 2DN) is $50,384-$61,902 annually, and the resident incentive salary for City of Milwaukee residents is $51,896-$63,759.
Appointment above the minimum is possible based upon level of experience and other qualifications and is subject to approval.
