*Qualifications*
* A minimum of two years of advanced education at an accredited university or technical school.
* A minimum of seven years’ experience with at least three years of experience working at the executive administrative assistant level.
* Excellent Microsoft Office and general computer skills.
* Excellent communication skills.
* Excellent attention to detail.
* Excellent multi-tasker
*Responsibilities to include, but not be limited to:*
* 1.
Provide administrative support to Executive Chairman and senior executives.
Create, edit, and proofread marketing materials including, statements of qualifications, responses to requests for proposals and other marketing presentations.
* 2.
Prepare materials for introductory client meetings and follow up workshop meetings.
* 3.
Maintain strict confidentiality as it relates to sensitive corporate issues that are performed by senior executives.
* 4.
Maintain electronic files of all prospective clients.
* 5.
Maintain a marketing language file for future reference when creating new marketing materials.
* 6.
Prepare extensive follow-up letters and supporting materials for prospective clients.
* 7.
Assist in the design of corporate brochures, mailers and website.
* 8.
Facilitate changes to the website and other marketing materials.
* 9.
Manage marketing mailings.
* 10.
Filing of incoming and outgoing correspondence, presentation materials, emails and memorandums to the paper and electronic marketing files.
* 11.
Maintain prospective client contact information in Outlook.
* 12.
Prepare correspondence via dictation both in person and via telephone.
* 13.
Schedule meetings, conference calls and travel when required.
* 14.
Manage US mail and email.
* 15.
Timely and accurate completion of all documentation and tracking activities related to the construction change order process.
* 16.
At the direction of the preconstruction and construction management team, type, format and assemble general contractor specification documents.
* 17.
Save proposals from potential contractors accordingly.
* 18.
Assist accounting department with a limited amount of reporting, vendor payment processing and other tasks.
