Oversees and implements the contract management process for the organization’s Medical Group which includes the efficient preparation, administration, distribution, and maintenance of employment agreements to ensure standard contract provisions are met under the established guidelines of the organization.
Acts as an internal resource and educates leadership, team members, and internal departments on standard contract provisions, contracting work flows, and immigration policies.
Works to ensure that established standards are met with regard to the accuracy, efficiency, consistency, and timeliness of contract documents produced by the Clinician Contracts team.
Major Responsibilities: Establishes and manages a system which ensures all Medical Group contracts are prepared, executed, organized, and secured in a centralized department contract repository.
These documents include but are not limited to physician employment agreements, amendments to agreements, Aurora Physician Compensation Committee (APCC) documentation, letters of notification/documentation (termination, waiver, start date change), and immigration documents.
Facilitates and communicates standard contract provisions and procedures.
Acts as a liaison among leadership, including the Medical Group President, and team members from Aurora’s Legal, Compliance, Recruitment, and Physician Compensation departments to ensure all needs are met for the organization and discrepancies are resolved.
Manages a centralized electronic employment agreement and contract database.
Mentors, coaches and trains team members on implementation of new guidelines and the continued adherence to established guidelines governing contracting content and workflows.
This includes coordinating and conducting training for new team members and internal users on the contract process and technology resources.
Partners with the Advocate Aurora in-house Immigration Coordinator and, when necessary, outside legal counsel, to process immigration documents in accordance with immigration regulations.
Maintains paper and electronic immigration files for all sponsored employees and prepares and maintains Department of Labor public access files for physicians, advance practice clinicians, and other system professionals ensuring compliance with current regulations.
Assists with special projects as defined by the Clinician Contracts team.
This includes the preparation of reports, process maps, and other supporting documentation.
Identifies opportunities for process improvements and other innovations, including streamlining and updating tools used as part of the team’s contracting procedures.
Works with the Clinician Contracts team to implement changes.
Manages technology resources used in the contracting process for the approval, signature, distribution, and storage of documents to ensure continuity and consistency among stakeholders.
Licensure, Registration, and/or Certification Required: None Required.
Education Required: Bachelor's Degree in Business, or Bachelor's Degree in Health Care Administration or related field.
Experience Required: Typically requires 2 years of experience in contract document drafting, review, analysis, and coordination.
Knowledge, Skills & Abilities Required: Proven ability to work independently while making critical decisions under tight timeframes with multiple competing priorities.
Understanding of contract and/or legal document principles and concepts.
Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Access) or similar products.
Ability to manipulate, maintain and organize data and maintain data with ease of access.
High level confidentiality.
Good interpersonal communication skills and experience to effectively interact and build working relationships with all levels of team members, including physicians, leadership, and external customers.
Exceptional working knowledge of contracting language.
Ability to act as a resource and provide guidance to others.
Ability to establish exceptional individual relationships based on credibility of expertise and trust.
Strong attention to detail and problem solving skills.
Strong organizational skills and ability to prioritize daily tasks and work with short turnaround times.
Physical Requirements and Working Conditions: Position may require travel which may result in exposure to road and weather hazards.
Exposed to normal office environment.
Operates all equipment necessary to perform the job.
